Custom & Personalized Product Terms and Conditions

By checking the box and proceeding to checkout, you confirm you've read, understood, and agreed to the following terms for every custom/personalized product in your order.

1. What Counts as "Custom"

A product is considered customized or personalized any time you select, submit, request, change, or approve anything beyond the standard size and standard, unmodified garment color of an existing, predesigned item. That includes, without limitation:

      Names, monograms, dates, numbers, titles, or other customer-supplied wording;

      Uploaded photographs, artwork, logos, or graphics;

      Changes to the wording, color, layout, font, size, or placement of an existing design;

      Customer-selected thread colors, print colors, materials, or decoration methods;

      A design created specifically for you; and

      Special instructions submitted via order notes, email, text, or any other channel.

A product is non-custom only when you purchase an unchanged, predesigned item and select nothing beyond the standard size and garment color shown on the product page. Non-custom items follow our standard (non-custom) return policy, not this one.

2. Final Sale — No Returns, With One Exception

Customized and personalized products are made specifically for you and generally can't be restocked, resold, or reused. They are not eligible for cancellation, return, exchange, store credit, or refund because of:

      A change of mind;

      An incorrect size, garment color, or decoration color selected by you;

      Dissatisfaction with an option that matches your submitted order or approved proof;

      Spelling, grammar, date, number, or monogram content that you supplied or approved;

      A customer-uploaded image that prints, stitches, or engraves poorly due to its original quality after you were advised of the concern;

      Normal variation in color, texture, decoration, placement, or dimensions (see Sections 8–10); or

      The product no longer being needed for a particular date, event, team, or recipient.

The one exception: a verified error on our part. See Section 15 for what qualifies and how we make it right.

3. Design Proofs & Approval

When a proof is required, we'll generally send it to the email on your order within 24–72 business hours. Production does not begin until you approve that proof in writing (email reply, click-to-approve, text, or another method we accept).

      You may cancel or modify your order at no charge any time before proof approval.

      Once you approve a proof, the order is final and enters production. Changes after that point aren't guaranteed and may carry additional fees.

      We are not responsible for errors that were visible in a proof you approved.

      A digital proof is an approximate representation, not a guaranteed photographic match — screen colors, texture, and production conditions can cause minor differences in the finished product.

      Unless your invoice or product listing states otherwise, your design price includes the number of proof revisions we specify up front. Requests that substantially change the original wording, artwork, or design direction may be treated as a new design request with an additional fee.

      If we don't hear back on a proof within 5 business days, we may pause your order pending your response, per our standard order-hold policy.

4. Spelling & Accuracy

You're responsible for verifying all text, spelling, grammar, dates, numbers, and monogram order before you approve your proof (or place your order, if no proof applies). We produce exactly what's submitted and approved. We are not responsible for errors that were part of the information you gave us or the proof you signed off on.

5. Order Changes & Cancellations

Review your order carefully before submitting. Once artwork prep, digitizing, setup, material prep, or production has begun, an order can't be changed or canceled without our approval, and additional design, material, or rush fees may apply if we do agree to a change. Any design, digitizing, setup, or production work already performed is nonrefundable, even if the rest of the order is adjusted.

6. Payment

Full payment is due at the time of order for all custom/personalized products. Production does not begin until payment is received in full.

7. Customer-Supplied Artwork & Rights

By submitting a photo, logo, design, or other file, you're confirming that you own it or have permission and legal authority to use it. You're responsible for any claim, loss, or expense that results from content you supplied without the rights to use it. We reserve the right to decline or cancel a request involving content that appears unlawful, infringing, or otherwise inappropriate.

For best results, submit files at your intended final size and 300 DPI or higher; vector files may be required for certain printing, cutting, or engraving methods. If you ask us to proceed with artwork after we've flagged a quality concern, you're accepting the resulting appearance — that's not grounds for a return.

8. Printed / Sublimated Products

      Colors on your screen may not exactly match the finished product due to monitor settings, garment color, ink, and the printing process — we do our best, but an exact match isn't guaranteed.

      Garment color, fabric texture, and heat/pressure during production can affect the final look, opacity, or texture of a printed design; this varies by material and is expected.

      Sublimation may show minor fading or incomplete transfer near seams, collars, shoulders, or folds where the product can't stay perfectly flat during pressing. That's a normal part of the process, not a defect.

9. Embroidered Products

Thread color may look slightly different than your digital mockup. Very small lettering or fine detail may need to be simplified or enlarged to stitch cleanly. Minor puckering or fabric distortion, especially on thin or stretch fabrics, is a normal byproduct of embroidery — not a flaw.

10. Laser-Engraved Products

Engraving depth, contrast, and finish vary by material — wood grain, knots, and anodized coatings all engrave a little differently. Slight variation between pieces in the same batch is expected and is not considered a defect.

11. Custom Design Timelines

      Please allow 24–72 hours for a design draft to be emailed to you.

      Please allow 7–14 business days after design approval for your order to ship. This window can grow during high-demand periods — we're moving as fast as we responsibly can.

      Business days exclude weekends, holidays, announced closures, and any time we're waiting on information or approval from you. If you're slow to respond to a proof or question, your original estimated ship date no longer applies.

12. Event Dates & Rush Orders

Order early — noting an event date in your order comments doesn't guarantee we'll hit it. A delivery deadline is only guaranteed when we confirm it in writing. Rush production must be approved (and is often an added fee) before you place the order; expedited shipping alone does not shorten our production time.

13. Product Availability & Substitutions

Blank products, colors, and materials can go out of stock after you order. If that happens, we'll reach out with options — a comparable substitute, an alternate size/color, a revised timeline, or a refund for the unproduced portion. We won't swap in anything that materially changes your order without your okay first.

14. Normal Product & Material Variation

Blanks vary slightly between manufacturers, styles, and production runs — think minor differences in shade, texture, stitching, hardware, or natural material grain. These are normal manufacturing variations, not defects, and aren't grounds for a return.

15. Verified Errors & How We Make It Right

A verified Embedded Designz error means the finished product materially differs from the personalization you submitted or approved, your final approved proof, or the item/size/color/quantity you ordered. It does not include customer-submitted content, anything visible in an approved proof, or the normal variations described in Sections 8–10 and 14.

To report a claim, contact us within 7 calendar days of delivery with your order number, a description of the issue, and photos (including packaging, for shipping damage). Please hold onto the product as-is — don't wear, wash, alter, or discard it — while we review. Submitting a claim starts the conversation; it doesn't automatically guarantee a specific outcome.

Once we confirm a qualifying error, we'll work with you on the fix that best matches the problem — repair, correction, reproduction/replacement, store credit, a partial refund, or a refund for the affected item, based on what's actually broken, whether it's fixable, and the portion of the order involved. An issue with one item in a larger order doesn't automatically extend to the whole order, but we'll always talk it through with you rather than just cutting you off.

We may ask for the original item back before issuing a replacement, credit, or refund — we'll give you shipping instructions if so. Please don't mail anything back without hearing from us first.

16. Damaged or Lost in Transit

Shipping damage is handled separately from production errors. If your order arrives damaged or goes missing, let us know within 48 hours of delivery (or expected delivery) with photos, and we'll help with a carrier claim or replacement.

17. Care & Use

Please follow the care instructions for your product. Damage from improper washing, drying, ironing, bleaching, or general misuse isn't a production defect, and normal wear like fading or pilling over time isn't eligible for replacement, refund, or credit.

18. Bulk & Wholesale Orders

Bulk and wholesale runs are produced with a standard quantity tolerance of up to 2% over or under, consistent with industry norms for embroidery, screen printing, and DTG runs — orders within that range aren't considered short or in error.

19. Questions Before You Order

Not sure if something counts as custom, or want to talk through an order before you commit? Reach us at embedded.designz@gmail.com or through www.embedded-designz.com — happy to walk it through with you.

Customer Acknowledgment

By checking the agreement box and proceeding to checkout, you confirm that:

1.     Any product involving a choice, request, or approval beyond standard size and standard garment color is a custom/personalized product.

2.     Custom/personalized products are final sale, except for a verified error on our part.

3.     You've reviewed your sizes, colors, quantities, and personalization details.

4.     You're responsible for the accuracy of information and artwork you submit or approve.

5.     Digital proofs and screen colors are approximate, not exact matches to the finished product.

6.     Normal variation in garments, printing, sublimation, embroidery, and engraving is expected, not a defect.

7.     Production timelines begin only after payment, artwork, and proof approval (where applicable) are complete.

8.     Reporting an issue starts a review — it doesn't automatically guarantee a specific refund or replacement.

9.     You've read and agree to this Custom & Personalized Product Policy in full.
